For event planners and event companies

Run the guest side of every client's event from one workspace.

Waalikwa is not an e-card service. It is the guest-operations workspace behind an event: the list, the invitations, who replied, who paid in, who came through the gate, and the report you hand your client afterwards.

Free for seven days. No card, and no call to get started.

What your client is actually buying from you

A designed card is the first ten minutes of the job. The rest is chasing four hundred phone numbers, knowing who replied, counting seats a family will actually use, keeping the michango straight, and getting people through the door on the day without a clipboard. Waalikwa holds all of it, which is why it is priced per guest and per event rather than per design.

The whole job, on every plan

Plans differ by how much you run, never by what you can do. Nothing below is withheld from a smaller plan.

Guest lists that survive a real event

Import the spreadsheet your client already sent you. Seats per invitation, so a family of five counts as five people arriving rather than one name on a list.

The guest list screen, with each guest's category, seats and phone number.

A personal invitation for every guest

Artwork generated per guest with their name and what the card admits, carrying a scannable code unique to them. Waalikwa can deliver it over WhatsApp for you, or you can send each one from your own WhatsApp so it arrives from a number your client's guests already recognise.

  • Automated WhatsApp: Waalikwa sends the invitation itself, through the WhatsApp Business API, with a button that opens that guest's own invitation page
  • The same channel carries the RSVP reminder, the confirmation once they answer, a reminder before the day, and an update when something changes
  • Reminders go only to the guests who have not replied, not to the whole list
  • Each guest is messaged in their own language, falling back to the event's
  • You see accepted, delivered, read and failed against each guest, so a number that never received anything is visible before the day rather than after it
  • Or share from your own WhatsApp instead — unlimited on every plan, and never counted against an allowance

RSVP you do not have to chase by hand

Guests answer from the link, and responses taken by phone go in the same place. Reminders go to the people who have not replied, not to everyone.

Michango, with a ledger that holds up

Pledges, payments and expenses in shillings, with a committee who can record them. Records are voided with a reason rather than edited, so what your client reads can be defended line by line.

A gate that works on a borrowed phone

Scan the code or look the guest up by name, and seats count down as the family arrives. Two gates at once, and admissions recorded even where there is no signal.

The gate check-in screen on a phone, with the scanner and the guest's remaining seats.

The report you hand over afterwards

Who was invited, who replied, who arrived and when. The thank-you list comes out of the same data, so the last favour to your client costs you nothing.

Several clients, one workspace

Every client's event lives in the same workspace and on the same calendar, each with its own guest list, invitations, team and books. Your client's guests read your client's name on the invitation, not your company's — you set the host name per event, in each language.

  • One calendar across every client event, by day, week, month or year
  • The host name and event name your guests read, set per event and per language
  • Gate staff and treasurers see only the events they are assigned to
  • Drafts are free and unlimited — prepare a whole season in advance
  • Finishing an event frees its place and its seats for the next one

Your brand, in stages

Start on standard Waalikwa branding and change nothing to get working. What is listed here is what a planner workspace carries today — no waiting list, no setup call.

In a planner workspace today

  • Your business name across the workspaceOn the workspace, on your team's invitations to join, and as the host on any event that has not named its own.
  • The host name your client's guests readSet per event and per language, so a client's guests see the client — never your company name on somebody else's wedding.
  • Invitation designs, including your own artworkBuilt-in designs available to every event, plus artwork you upload for a particular event and generate every guest's card from.
  • Your own SMS sender nameOn the Planner and Agency plans, so guests see your business rather than WAALIKWA. Up to 11 characters, and granted by our SMS provider against your business licence — usually a few days.

Arranged with us

Deeper branding is set up with you rather than switched on by you. It touches a domain, a messaging provider's approval and a commercial agreement, none of which a sign-up form can settle honestly. Tell us what you need and we will say plainly what is possible and what it costs.

  • Waalikwa under your own domain
  • Waalikwa's name off the pages your client's guests see
  • Your own WhatsApp sender and message templates
  • Reseller pricing, so Waalikwa sits inside what you already charge
  • Higher-capacity plans beyond Agency
  • Onboarding and training for your team

Part of what you sell

Most planners here already charge for guest management — it is simply done by hand, by somebody on the team, for a week. Waalikwa is the version of that work you can quote for, deliver the same way every time, and show your client evidence of afterwards.

  • Quote guest management as a line on your own invoice, not a cost you absorb
  • The same workflow on every event, so a new member of your team is useful in a day
  • An attendance report per event, which is the proof your work was worth what you charged
  • Reseller terms available by arrangement, once we know your volume

Questions planners ask

Does each client need their own workspace?
No. One workspace holds every client's event, each with its own guest list, invitations, team and books. What your client's guests read is set per event, so a shared workspace never means a shared identity.
Can my client see their own event?
Not yet as a client login. You can invite anyone on your client's side as a team member scoped to their event alone, which is how most planners run it today, and a separate client view is something we would rather design with a planner who needs it than guess at.
Do my staff see every client's event?
Only if you want them to. Gate staff and treasurers see the events you assign them to and nothing else. An admin sees the whole workspace.
What happens when I run more events than my plan allows at once?
Nothing you have already started is affected — the limit refuses only the step that crosses it, and completing an event frees its place immediately. Drafts are never limited, so preparing next season is always free.
Can I remove Waalikwa's name from what my clients' guests see?
That is part of white-label, which we set up with you rather than sell through a form. It involves a domain and a messaging provider's approval, so it needs a conversation first. Everything else on this page you can start with today.
How do I pay?
By arrangement with us for now — there is no online checkout yet. Start your workspace, use the trial, and we will set the plan up with you when you are ready.
